How to create a digital business card: step by step

To create a digital business card, choose your card and order it with your logo; you approve the design before printing. When it arrives, hold it to your phone, create your profile from the link and test the tap and the QR code.

An NFC digital business card has two parts: the physical card you carry and the digital profile that opens when someone taps or scans it. The card carries an NFC chip and a QR code. The profile is a page you fill in from your dashboard and can change at any time. The steps below cover the whole process, from ordering to your first share.

Before you start: which product suits you?

Passly offers two main options for an NFC business card. PVC cards come in white, matte black, silver and gold and are the most common choice for everyday use. Gold and silver metal cards are for people who want to stand out at the first meeting through weight and texture. To wear your card visibly at fairs or in the office, choose an NFC name badge, which opens the same profile.

QR keychains come in epoxy, metal, leather and bamboo; they work by QR scan, not NFC. If you want to share your details by tapping a phone, choose a card or a name badge.

A little preparation speeds things up: the sharpest logo file you have, the exact spelling of your name and title, a profile photo, a cover image and a list of the links you plan to add.

Step by step: from order to first share

  • Step 1: Choose your product and colour. Think about where you will use it: PVC suits everyday meetings, a metal card suits meetings where prestige matters.
  • Step 2: Upload your logo and details with your order. If you have no logo, the design team contacts you and creates a design for you.
  • Step 3: Complete the payment. You pay by credit or debit card through PayTR, once, with no subscription.
  • Step 4: Approve the design. The design is sent to you digitally for approval. Check the spelling of your name, the logo position and the colour carefully; printing starts only after you approve.
  • Step 5: Wait for delivery. Orders ship within seven business days of payment at the latest, and delivery within Turkey usually takes one to three business days. The sooner you approve the design, the sooner your card is on its way.
  • Step 6: Activate the card. Hold the card to the upper back of your phone, tap the link that appears and create your profile on the page that opens. If you already have a Passly account, log in first, tap the card again and press the activate button.
  • Step 7: Fill in your profile. Add your contact details, social media accounts, company information and images in the dashboard, then save.
  • Step 8: Test and start sharing. Tap the card on different phones, try the QR code and make sure your profile opens as expected.

What to keep in mind when filling in your profile

The profile is the real face of your card. In the dashboard you can add several phone numbers and email addresses, WhatsApp, websites and accounts on more than 20 social media platforms. Business owners can also add company details such as tax office, address and map location, IBAN and bank accounts, a catalogue and marketplace stores, photo and video galleries, and product and service pages.

You do not have to add everything. Prioritise what people should see in the first few seconds. A clear profile photo and cover image, your job title and a phone number that can be called in one tap are usually a good start. A common mistake is saving links without testing them, so open each link on your profile once to check it leads to the right page.

Do not skip the appearance settings. You can choose a theme such as corporate light, night or navy, or one of the team themes. The profile can be shown in Turkish, English, Russian, German and French, and the interface switches automatically to the language of the visitor's phone. If you work with international clients, enter your job title and company details separately for each language. Turning on two-step verification with Google Authenticator is also a good habit.

Testing the tap and the QR code properly

When testing, unlock the phone and hold the card a few centimetres from its NFC area, usually the upper back. On Android phones, NFC may need to be switched on in the settings first. The phone shows a notification; tapping it opens the profile.

Scan the QR code with the phone's camera app. Phones without NFC rely on this method, so always test the QR code too. If possible, try both an iPhone and an Android phone, and check that the Save Contact button transfers your name, title and number correctly.

Practical ways to share your card

Face to face, simply tap the card on the other person's phone; you keep the card. To share remotely, send your profile link by WhatsApp, SMS or email. Adding the link to your email signature and social media bio keeps your digital business card within reach even when the card is not with you.

At fairs and events, the "Let's connect" form on your profile lets visitors who tap your card leave their contact details, so you can follow up later.

Updating your details later

This is where a smart business card differs most from paper. When your number, job title or address changes, you update it in the dashboard and the change appears on your profile straight away. Nothing is reprinted, and anyone who opens your profile sees the new details. Reviewing your profile every few months stops old links or closed accounts from lingering on it.
